How to Book
We aim to make the process as efficient and transparent as possible, so you can focus on creating positive, eco-friendly events. Early booking is recommended for peak seasons to secure availability.

Submit your enquiry
Complete the enquiry form in the "Enquire" section on our homepage, or email us directly at solarsoundwizard@pm.me. Include details about your event (dates, location, expected power needs, audio/lighting requirements, etc.) so we can provide the most accurate guidance. -
Receive a personalised response
We'll reply within 48 hours to discuss your needs. We'll refine a sustainable service plan (including solar power, pro audio, and lighting), and send a no-obligation quote. -
Secure your booking
To accept the quote and reserve your dates, reply in writing (email preferred). We'll then send:
- A copy of our full Terms & Conditions
- An invoice for the non-refundable 33% deposit (of the total agreed fee) -
Confirmation
Your booking is fully confirmed once we receive your deposit payment and written acceptance of these T&Cs.
Deposit & Payment Terms

A 33% non-refundable deposit secures your booking and is to be paid within 14 days of quote acceptance (and no later than 14 days prior to the hire period start date).

The remaining 66% is payable no later than 14 days after the event start date (or on the day is preferred)

We accept bank transfer.

Late payments will incur statutory interest at 8% p.a. above the Bank of England base rate (per the Late Payment of Commercial Debts (Interest) Act 1998). Prompt payment helps us maintain sustainable operations and keep costs low for everyone.
Cancellation & Rescheduling Policy

Up to 14 days before the hire start date: 66% of the total fee payable.

On the day of arrival: Full fee payable.

Rescheduling requests are considered subject to availability and may incur a small admin fee (£50–£100 depending on notice).
We understand plans change — early notice helps us rebook and minimise impact.
Equipment Hire Terms (Solar, Audio & Lighting)

Delivery and collection are included where agreed (extra charges may apply for remote or difficult-access sites).

The Hirer is responsible for the Equipment from arrival until collection and must report any damage or issues immediately.

The Hirer must hold public liability insurance (minimum £5m recommended) covering the event and provide proof on request (no later than 14 days prior).

Failure to provide insurance proof may result in cancellation without refund of deposit.
This ensures safe, smooth events for all.
Liability & Insurance

SolarSoundTribe carries full public liability insurance.

We are not liable for death, personal injury, or damage arising from negligence in the overall site electrical setup, third-party equipment, or Hirer actions.

The Hirer must ensure a qualified electrician tests and certifies all non-SST equipment prior to use and indemnifies us against related claims.

We warrant all our Equipment (solar, audio, lighting) meets current UK safety standards (PAT tested where applicable).
Clear boundaries protect everyone involved.
Health & Safety / Site Requirements

The Hirer must provide safe, suitable site access (max vehicle: 7m length × 2.5m width × 2.8m height, 5,000kg gross weight).

A level, firm, unshaded pitch is required for the solar system, free from pits, obstacles, or soft ground.

Exact location and pitch must be agreed in writing (email/site plan) at least 14 days in advance.

For pro audio and lighting: Provide stable, dry setup areas with safe cable runs, noise compliance (e.g., under 85dB at boundary if required), and sturdy rigging/mounting. Exact placements agreed at least 7 days prior.

We reserve the right to refuse setup, relocate, or charge extra (£100/hour) if conditions are unsuitable on arrival.
These measures ensure safe, efficient, and optimal solar performance.
